Privacy Policy

This policy explains what information Peerless Review collects, how we use it, and — importantly for a manuscript-review service — how we handle the documents you upload.

1. Information we collect

Account information: your name, email address, optional institution, and a securely hashed password.
Manuscripts you upload: the PDF file and its text and figures, used to generate your review.
Reviews: the feedback we generate for you, stored under your account.
Payment information: handled by Stripe. We do not store your card details; we retain a record of the purchase (amount, date, credits granted).
Usage data: basic technical logs needed to operate and secure the service.

2. How we handle your manuscripts

Uploaded files are deleted after processing. We do not retain your original PDF. We keep only the structured review result, tied to your account, so you can revisit it.
To produce the review, your manuscript’s content is sent to our AI provider (OpenAI) for analysis, subject to their terms and data-handling policies.
To verify references, we send only short derived search queries — such as a paper title or DOI — to public scholarly databases (OpenAlex, Crossref, Semantic Scholar, PubMed). We do not send your manuscript text to these databases.

3. How we use your information

We use your information to provide and improve the Service, generate and store your reviews, process payments, verify academic eligibility, communicate with you (verification and receipt emails), and maintain the security and integrity of the platform.

4. Service providers

We rely on third parties that process data on our behalf: OpenAI (AI analysis), Stripe (payments), our email provider (transactional email), and public literature databases (reference verification, queries only). Each processes data under its own terms.

5. Data retention

Uploaded manuscript files are deleted after processing. Reviews, account details, and payment records are retained while your account is active. You may request deletion of your account and associated data (see Section 7).

6. Security

We use industry-standard measures including encrypted connections (HTTPS), hashed passwords, access controls, and a hardened server. No system is perfectly secure, but we take reasonable steps to protect your information.

7. Your choices and rights

You may access the reviews stored in your account and request correction or deletion of your personal data by contacting us. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA; we will honor applicable requests.

8. Cookies

We use a single essential session cookie to keep you signed in. We do not use advertising or third-party tracking cookies.

9. Children

The Service is intended for researchers and is not directed to children under 16.

10. Changes

We may update this policy; material changes will be reflected in the “Last updated” date above.
